Team wiki

A team wiki that sits next to your tasks

Write specs, runbooks and meeting notes in a block editor with real-time editing and page history. A page can show the tasks it describes, and they stay up to date.

Included in every plan, including the free one.

What can you do with the team wiki in Shaire?

Shaire includes a team wiki with nested pages and a block editor for headings, checklists, callouts, toggles, columns, tables, code, LaTeX and Mermaid diagrams. Several people can edit a page at the same time, and every page keeps a version history you can compare and restore. A page can show a live list of tasks, and a checklist line can become a task. Every member can read every page: there are no private pages and nothing can be published outside the workspace.

What you can do

A block editor for real documents

Headings, checklists, callouts, toggles, columns, tables, code, equations and Mermaid diagrams, all from the slash menu.

Edit together in real time

See who else is on the page and where their cursor is. Edits merge as you type, and a dropped connection syncs when it returns.

Version history

Shaire saves a version once a page has been quiet for ten minutes. Compare it with the current page and restore it in one click.

Page templates

Save any page as a template. An empty page offers your templates, so a meeting note or a spec starts in the right shape.

Comments, mentions and backlinks

Discuss a page in threads at the bottom, mention people and pages, and see every page that mentions this one.

Embeds

Embed YouTube, Vimeo, Loom, Figma, Miro, CodePen and Google Docs, Sheets or Slides directly in a page.

Tasks and docs together

A page can hold the work it describes

Add a task list block to a page and choose the list, milestone, assignee, tag, priority or state. The tasks update in real time as the work moves. Turn a checklist line into a task and the page links to it. A milestone has its own brief, with its tasks listed underneath.

Write where the work is

Most teams keep their tracker in one tool and their docs in another. Specs drift away from the tasks they describe, and the link between them is a URL somebody pasted once. In Shaire, pages and tasks live in the same workspace, with one search box and one set of members.

Pages sit in a tree under Knowledge in the sidebar. Nest them as deep as the topic needs, give them an icon and a cover, and drag them into place. Full-text search reads pages, tasks and milestones from one box, so an old decision is as easy to find as the task that came from it.

A block editor for engineering docs

Type a slash to add a block. Headings, lists and checklists cover everyday notes. Callouts, toggles and columns structure longer pages. Tables, code blocks, LaTeX equations and Mermaid diagrams cover technical writing, and a table of contents keeps long pages easy to scan. Embed a Figma file, a Loom video or a Google Doc where it helps.

Edit together and keep every version

When several people open a page, they edit it at the same time and see each other’s cursors. If the connection drops, keep typing and the changes sync when it comes back. Shaire saves a version once a page has been quiet for ten minutes. Open the history to compare a version with today’s page and restore it if you need to.

Start from a template

Save a meeting note, a spec or a postmortem as a template. New pages offer your templates, so every document of the same kind starts with the same structure.

Connect pages to the work

A page is more useful when it shows what is happening. Add a task list block to show the open tasks for a milestone, an assignee or a tag. Turn a line of a checklist into a task. Link a page to the tasks it documents, and see backlinks from every page that mentions it.

If your team mainly needs a writing tool with databases and public pages, Notion is the better choice, and our comparison with Notion explains the trade.

Limits to know about

Pages are shared with the whole workspace

Every member can read and edit every page. There are no private pages or per-page permissions, and guests do not see pages at all.

No suggestion mode or inline comments

Comments are threads at the bottom of a page. You cannot comment on a selection or suggest an edit for someone else to accept.

Nothing is published outside the workspace

A page cannot be shared with someone who has no account. A handbook for customers needs another tool.

No importer and no export

Pages from Notion or Confluence are moved by hand, and there is no Markdown, PDF or HTML export.

History starts after ten quiet minutes

A version is saved once a page has been idle for ten minutes and kept for 30 days. You cannot name a version or restore a single block.

50 MB of pages on the free plan

The Starter plan holds 50 MB of page content. Paid plans have no page cap set, and version history does not count toward it.

Common questions

Can two people edit the same page at once?

Yes. The page body is edited in real time, with each person's cursor and avatar in the margin. The page title is saved by whoever changes it last, and task descriptions are not edited together.

Who can see the pages in a workspace?

Every member of the workspace can read and edit every page. Guests cannot see pages. Permissions by folder and list apply to tasks, not to pages.

Can I restore an older version of a page?

Yes. Open the history to see the versions saved over the last 30 days, compare one with the current page and restore it. Restoring keeps the current page as a version first, so nothing is lost.

Can I use the wiki offline?

No. Shaire is a web app. If your connection drops while a page is open, keep typing and your changes sync when it returns, but reloading the page while offline loses them.
