What does task management in Shaire include?
Tasks in Shaire have sub-tasks up to five levels deep, estimates, priorities, tags, several assignees, start and due dates, custom fields and typed relations such as blocks and blocked by. Statuses and workflow rules are set once for the workspace, and recurring tasks and templates handle repeat work. Every task can link to the pages that explain it. It is included in every plan, including the free plan for two people.
What you can do
Sub-tasks and progress
Break a task into sub-tasks up to five levels deep. The parent shows how many are done, and cancelled sub-tasks stay out of the count.
Custom fields per list
Add a column from the list header: text, number, date, link, select, person or checkbox. Filter, sort and bulk edit by it.
Typed relations
Mark a task as blocking, blocked by, duplicating or related to another. A blocked task shows a padlock until its blockers close.
Statuses and workflow rules
Six statuses are ready when a workspace is created. Admins can add their own and decide which status may follow which.
Recurring tasks and templates
Save a task as a template, then schedule it every day, on chosen weekdays or once a month. It lands in the list you pick.
Bulk edit
Select up to 200 tasks and change the status, priority, assignees, tags, dates, estimate or a custom column in one step.
Every task can point to the page that explains it
Turn any checklist line in a page into a task with one click. The new task links back to the page, and the checklist line shows the task key. Link tasks to the pages that document them, so the spec and the work stay one click apart.
One list, four views
Every task lives in a list, and lists sit in folders: one for a project, a team or a client. You see the same tasks as a list, a board, a calendar or a timeline. Group them by status, assignee, priority, milestone or sprint, sort by up to four keys and save the result as a view. A saved view is yours until you share it with the workspace.
Structure without the setup
A new workspace has six statuses from the start, so a team can create its first task in the first minute. When the process needs more, admins add status groups for different kinds of work and set rules for which status may follow which. A rule can also ask that a task is not blocked, has no open sub-tasks or has an assignee before it moves on.
Priorities, tags and estimates are just as direct. Tags come in sixteen colours and can be grouped into families. An estimate is a number in the unit your team already uses, whether that is points or hours, and milestones add the estimates up.
Work that comes back
Some work returns every week. Save it as a task template with a title, description, priority, estimate, assignees and tags. Then give the template a schedule: every day, on the weekdays you choose or on a day of the month. Shaire creates the task in the list you picked, due the number of days later you set, and you can pause the schedule at any time.
Work that connects
Tasks relate to each other and to your docs. Mark one task as blocking another and the blocked task shows a padlock until the blocker closes. Link a task to the page that explains it, and both show the link in their side panel. When you write a plan as a checklist in a page, turn each line into a task without leaving the page.
Built for a team of 5 to 25
Shaire keeps what a small team uses every day and leaves out the configuration a large company needs. There are no issue schemes or screen setups to design. Limits to know about
No automation engine
There are no trigger and action rules. Recurring tasks and workflow rules cover the repeat work, and that is all that exists.
Custom fields stay in the list
Custom fields do not appear on board cards, in reports or in search. There are no formulas, required fields or default values.
Templates cover the basics
A template sets the title, description, priority, estimate, assignees and tags. It does not set a status, a due date, custom fields or sub-tasks.
No importer and no export
Tasks from Jira, Linear or another tool are moved by hand, and there is no CSV or JSON export.
200 tasks at a time
A list loads up to 200 tasks at once and shows the total, so a very large list needs filters to stay workable.
Common questions
How many statuses can a workspace have?
A workspace starts with six statuses: Backlog, Todo, In Progress, In Review, Done and Canceled. Admins can create more status groups and add, rename or recolour statuses. Each status maps to open, in progress, done or canceled, which is what the reports read.
Can a task have more than one assignee?
Yes. A task can have several assignees, and bulk edit can add, remove or replace them across up to 200 tasks at once.
Do workflow rules stop people from moving a task?
Admins decide which status may follow which, and can require that a task is not blocked, has no unfinished sub-tasks or has an assignee. Admins can always cross a rule. Members can too if the workspace allows it, and every crossing is recorded on the task.
Is task management included in the free plan?
Yes. Every feature is on every plan. The free plan is for up to two people, Team is €20 a month for up to ten and Growth is €59 a month for up to twenty-five.
