How does the kanban board work in Shaire?

Every list in Shaire can be shown as a kanban board. Columns follow the grouping you choose: status, assignee, priority, milestone or sprint. Dragging a card to another column updates that field, and workflow rules apply to the move. The board uses the same filters, sort and saved views as the list, calendar and timeline. There are no WIP limits or swimlanes. The board is included in every plan, including the free plan for two people.

Drag to update

Move a card to another column and its status, priority, milestone or sprint changes. Drop it on a person's column to reassign it.

Cards that show what matters

Each card shows the task key, title, tags, milestone, due date, estimate, sub-task progress and a badge when it is blocked.

Filters and saved views

Filter by assignee, priority, tag, sprint or milestone, then save the board as a view for yourself or for the whole workspace.

Workflow rules on every drop

If a move breaks a workflow rule, Shaire asks before it goes through, or refuses when the rule does not allow it.

Select several cards and drag them together, or change their fields in one step from the bulk edit bar.

Tasks from your docs land on the board

Turn a checklist line in a spec into a task and it appears on the board of the list you picked. Link each card to the page that explains it and open that page from the task. A page can also show the same tasks as a live list that updates as the cards move.

A board in Shaire is not a separate project to set up. Every list already has four views: list, board, calendar and timeline. Open the board and you see the same tasks, with the same filters, arranged in columns. Switch back to the list to edit many tasks at once, then return to the board to watch the work move.

Group by what you need to see

Group by status to follow work from Backlog to Done. Group by assignee to see who has too much on their plate. Group by priority before a planning meeting, by milestone to see what each goal still needs, or by sprint to plan the next one. Empty columns stay on screen, so a new sprint or a person with nothing assigned is still a place to drop work.

Change the work by moving it

Dragging a card changes the field the board is grouped by. Move a card from In Progress to In Review and its status changes. Move it to another sprint and it is planned there. Select several cards to move them together. If your workspace has workflow rules, the board applies them to every drop, so a task that is still blocked does not slip into Done by accident.

Create a task from the top or the bottom of a column and it starts with that column’s value. Right-click a card to open it, copy its link, duplicate it or move it to another list.

Keep the views you use

Filter the board by assignee, priority, tags, sprint or milestone, and show archived tasks when you need them. Save the result as a view. Keep it for yourself or share it with the workspace, so the whole team opens the same board at standup.

A board, not a board builder

Shaire gives a small team a board that works on the first day. If you need WIP limits, swimlanes or cards you design field by field, a dedicated kanban tool will serve you better. And if a simple board is all your team of ten needs, Trello is free, as our comparison with Trello says first.

Limits to know about

No WIP limits

A column cannot cap how many cards it holds, and nothing warns you when a column fills up.

No swimlanes

The board groups by one field at a time. You cannot split the columns into horizontal lanes.

One list per board

A board shows the tasks of one list. There is no board across several lists or the whole workspace.

Cards are not configurable

Custom fields do not appear on cards, and you cannot choose which fields a card shows.

Flat columns

Columns cannot be collapsed, and sub-tasks are not nested under their parent card on the board.

Common questions

Can I group the board by something other than status?

Yes. Group it by status, assignee, priority, milestone or sprint. You cannot group the board by a tag or a custom field.

What happens when I drag a card to another column?

The field the board is grouped by takes the new column's value. On a board grouped by assignee, the card's assignees are replaced by the person of the new column. Inside a column, you can reorder cards when the sort is set to manual.

Does the board respect workflow rules?

Yes. A drop that breaks a rule asks for confirmation when the person is allowed to cross it, and is refused otherwise. Admins can always confirm, and every crossing is recorded on the task.

Can we turn the board off?

Yes. An admin can switch the board off for the whole workspace in Settings, and it leaves the view switcher. Your tasks stay available in the list, calendar and timeline.
