What Trello does well

Anyone can pick it up

Trello is cards moving across columns. Most people understand it in minutes and use it without training.

Power-Ups and automation

Power-Ups add calendars and custom fields. Butler is an automation engine, with 250 command runs a month on the free plan.

It is free for ten people

Ten collaborators and ten boards cost nothing. A small team that needs to see who is doing what can run on the free plan.

What Shaire does well

Work that outgrows a card

Sub-tasks have their own assignees and statuses. Typed relations and workflow transition rules keep larger pieces of work in order.

Planning beyond this week

Plan the quarter with cycles that track capacity, point estimates, and a timeline with dependency arrows.

Documentation next to the work

Write specs in a full block editor and a nested page tree. Embed a live task list directly in the page.

Trello is a clear, visual board that many teams run on. When a team of 5 to 25 needs sub-tasks, sprints and written specs, it often adds Power-Ups or a second subscription for documentation. Shaire puts all of that in one product.

One price for the workspace

At ten people, Trello is free and Shaire is €20 a month. On Trello Standard at $5 per user, the same ten people cost $50 a month. On Premium, they cost $100. Each new person adds to the bill.

Per-seat pricing puts a price on every invitation: the designer who follows one task, or the support person who reads the technical notes. When an invitation costs money, those people often stay out and the context moves to a chat thread.

Shaire costs a flat €20 a month for the workspace up to 10 people, and €59 up to 25. The plan sizes the workspace, and every feature is on every plan. Storage is a resource: if you fill it, uploads stop and every file already there stays readable.

Tasks and documentation in one product

A Trello card holds a short description. Specs and technical decisions usually live in a separate documentation tool.

Shaire has task tracking and documentation in one product, with one search box and one permission model. A page can hold a live filtered task list that stays current as the work moves. You can promote a checklist line into a task, and the task links back to the line it came from. A milestone carries the writing that explains it. Two separate tools joined by a pasted link do not stay connected this way.

Sub-tasks, sprints and timelines

A card called “Redesign onboarding” can gather four checklists and fifteen comments. At that point it is a project.

In Trello, a checklist item is not a card with its own assignee, status and history. In Shaire, sub-tasks have all three and roll their progress up to the parent. Cycles track capacity, estimates are in points, and the timeline draws dependency arrows. Workflow transition rules set which status follows which, and recurring tasks create themselves on a schedule. You plan a sprint without adding Power-Ups.

Closing a workspace

An owner can close a workspace from the settings screen. Day zero cancels the Stripe subscription, removes our webhooks from your git provider and hides the workspace. Day thirty destroys the data. In between, it can be recovered by hand. You do not need a support request to leave.

How to choose

Choose Trello if

  • Your workflow fits on a board with three columns.
  • Half your team is non-technical and needs a tool they can use without training.
  • You have ten people, no budget, and a free plan covers what you need.

Choose Shaire if

  • Your Trello cards carry checklists and context that should be separate tasks.
  • You want to plan sprints, estimate in points and see a timeline without adding Power-Ups.
  • You want specs and decisions to live next to the work they describe.

Common questions

Is Trello cheaper than Shaire?

At ten people, Trello is free and Shaire is €20 a month. On Trello Standard at $5 per user, the same ten people cost $50 a month, and $100 on Premium. Shaire charges a flat price for the workspace, not per seat, so inviting a freelancer does not add to the bill.

When does a team outgrow Trello?

Usually at one of three moments. Cards start carrying checklists that should be tracked as tasks. Somebody asks what is happening in three months and the board cannot show it. Or the reasoning behind the work ends up in a chat thread because there is no place to write it down.

How long does Shaire take to learn?

Six statuses exist the moment a workspace does, and nothing has to be set up before work starts. Shaire has more to explore than a board: sub-tasks, sprints, a calendar and a page tree. Plan on about an hour to find your way around.

Can I import my Trello boards?

Shaire has no importer, so active boards move over by hand. For a team with ten boards, that takes about an evening. Shaire has no data export either.

What happens if Shaire does not work out for us?

You can close the workspace yourself. Day zero cancels the Stripe subscription, removes our webhooks from your git provider and hides the workspace. Day thirty destroys the data. In between, it can be recovered by hand. You do not have to email support to leave.
